tracking referrals and GC's

I am going to be starting work as an IC at a salon two days a week. The salon has just been taken over by new owners and they have never offered massage there before. I would like to implement a referral program such as get $5.00 off next massage when you refer a friend who books and keeps an appointment. I am wondering what is a good way to keep track of the referrals, who sent them in, did I give them the $5.00 off their next appointment, etc. Any ideas would be appreciated. Also, how do you keep track of your gift certificate sales and redemptions?

This is my first time "going it alone" so any information you can send my eay will be greatly appreciated.

I have a 'Referred by' line on my health history with the name/address/city info. If the client does not fill it in, I always ask how they heard about me. I then make a note in my schedule to give the referring client his/her discount at his/her next appointment.


Gift certificates I track on a very simple Excel spreadsheet. It has 8 columns.
-Date
-G/C Number
-Purchaser's name
-Receiver's name
-Valid For
-Amount Paid
-Redeemed Date
-Any Notes

I also track if it was an online or phone purchase.

they are really great & really professional looking and come with a tracking/record system. this way, when you're not there the staff can sell them for you and the system is real easy for them to use!
